The job description of the Human Resources Department is as follows:
1 – Establishment (Personnel) Division
2 – Human Resources Personnel Division
3 – Outgoing Mail Division
4 – Printing and Typing Division
5 – Pension and Retirement Division
6 – Personnel Records Division
 
These divisions perform the tasks assigned to them by the Department Head.
1 – Staff Establishment Division:
A – Reviewing and processing employees’ allowances, promotions, service increments, and salary determination.
B – Maintaining and updating the staff establishment register for all university personnel.
C-Issuing official letters of appreciation and awards for faculty members and staff.
 
2 – Human Resources Personnel Division:
Issuing official correspondence related to (transfers, appointments, spousal leave, sick and regular leave, long-term leave, maternity and childbirth leave, appointments, disciplinary actions, confirmations, direct orders and release letters, letters of non-objection, correspondence with the Ministry, universities, and colleges, as well as employment orders).
Follow-up Unit: Mail distribution tracking and monitoring.
Computer Unit: Preparing schedules for faculty members and staff, maintaining a dedicated database for them, and submitting it to the Ministry.
Central Documents Verification Committee Unit: Verifying documents of faculty members and staff, and following up on the authenticity of issued documents.
 
3 – Incoming and Outgoing Correspondence and Archives Division:
A – Opening a dedicated outgoing correspondence register at the beginning of the year and closing it at the end of the year.
B – Issuing official letters and documents for internal use and external circulation within and outside the university.
C – Copying official documents and maintaining them in the relevant personnel files.
D – Entering official correspondence into the division’s computer system.
Incoming Mail: Monitoring and handling correspondence received from outside the university.
Archiving: Storing and archiving all incoming and outgoing correspondence.
 
4 – Printing and Typing Division:
Printing all official correspondence, memoranda, and university orders related to the Human Resources Department.
 
5 – Pension and Retirement Division:
A – Referring faculty members and staff to retirement (upon reaching the legal retirement age, at their own request, or due to death).
B – Preparing service records and submitting them to the National Retirement Authority.
 
6 – Personnel Records Division:
A – Opening personnel files for permanent and temporary staff and filing official orders in their personal records.
B – Preparing a service summary for each employee and including it in their personal file.
C – Indexing electronic and manual files.
D – Monitoring annual leave, sick leave, and unpaid leave, and recording them in the computer system according to a specialized software program developed in coordination between the department’s IT unit and the Computer and Internet Division.
C – Archiving personal files electronically and saving a secure backup copy on an external hard drive.
